IPPS is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using the IPPS website, you can be assured that the organization will use the information in accordance with this privacy statement.
The provision of your personal information to us is voluntary. However, without providing us with your personal information, your use of our services or your interaction with us may be impaired. For example, you will be unable to register as a member or register to attend our events.
IPPS may modify this Policy from time to time, effective immediately upon posting to the site or such other period as required by applicable law. Your continued access or use of the site constitutes your acceptance of the provisions of the then-current Policy. The current Policy applies to all information gathered or obtained about you at any time.
You can use some of IPPS’ services without giving IPPS your personal data. Much of the information on the IPPS website is available to visitors who are not IPPS members. You can enter only the minimum amount of information (name and contact information) to your IPPS profile, and you can edit your profile at any time. For IPPS members, additional information is required (details below in the Membership section). Some personal information is necessary so that IPPS can supply you with services you have purchased or requested and can authenticate you so that we know it is you and not someone else. You may manage your IPPS subscriptions and you may opt-out of receiving certain communications at any time.
To ensure that users are provided with accurate information about their accounts and that content is geared to the interests of that user, we may ask for personal information when a user registers for, logs on to, or visits our websites or other online services, or participates in activities on our websites.
We may request users’ personal information when they do one or more of the following:
- Log on to one of our websites or online services;
- Place an order on one of our websites for products or services such as, but not limited to, registration for events;
- Register or create an account on any of our websites;
- Send us an email or otherwise contact us using the online tools that we have provided on any of our websites
- Log into or download a conference app.
As noted above, our websites and online services also collect some usage information automatically. Please see below for more information.
When you become an IPPS member, we collect information about you, including (but not limited to) your name, email address, mailing address, phone number, designation, place of work, primary professional focus, primary basic research area, and primary medical specialty area (if applicable). We may also require proof of status from an individual’s university. Members may edit their profile at any time to change, add, or make private personal information.
We process your personal information for membership services; to deliver member benefits to you; and to inform you of IPPS-related events, content, and other benefits or opportunities associated with your IPPS membership. IPPS may also use this information to help the organization understand its members’ needs and interests in order to provide relevant products and services.
When you apply for a grant, we will collect, process, and store some personal data that relate to and identify you. This information may include, but is not limited to, name, mailing address, email address, job title, employer, educational institution and degrees, professional training and/or certifications, funding sources and amounts, professional specialty, current work projects, project collaborators, professional independence, birth country, current country, letters of recommendation, past awards or honors, membership status, membership level, a curriculum vitae, and any other information collected on an application to the extent necessary to process and review your application and manage any grant, award, fellowship, camp, or school that we offer. We use this information to monitor historical and current trends in funding, countries of successful and applying applicants, numbers of applicants, and diversity among applicants. We also use the data to notify applicants if they did or did not receive any of those awards, grants, fellowships, or camp/school acceptances. Recipients will receive additional communications related to acceptance, announcements, or registration to process and publicize that funding.
- Workshops, Events, Meetings, Online Courses, and Conferences
The IPPS sponsors events including in-person conferences, workshops, education courses, webinars, and meetings (collectively “events”). If you register for one of our events and you are a member, IPPS uses the information in your member account to provide you with information and services associated with the event. If you are not a member and you register for one of our events, we will collect your name and contact information and use it to provide you with information and services associated with the event.
IPPS also collects information from presenters and lecturers at its events, including name, employer, title, specialty, contact information, and a photograph. IPPS may also collect voluntarily-provided evaluation information provided by event attendees. In addition, IPPS may make and store a recording of the event in certain instances.
IPPS may keep a record of an individual’s participation in IPPS events as an attendee or presenter, which may be used to provide membership services (such as, for example, to tell you about other events and publications). It may also be used to help IPPS understand its members’ needs and interests to better tailor our products and services to meet those needs.
- Payment Card Information
You may choose to purchase goods or services from IPPS using a payment card. Typically, payment card information is provided directly by you, via the IPPS website, into the PCI/DSS-compliant payment processing service to which the IPPS subscribes, and IPPS does not, itself, process or store the card information.
What information you provide IPPS:
IPPS receives and stores any information you enter on the website, including, but not limited to, the following:
- Name and job title
- Contact address, including phone numbers and email addresses
- Demographic information such as gender, specialty, occupation type, and interests
- Other information relevant to membership, events, and communication preferences

How Does IPPS Use Information? IPPS uses the information you provide and IPPS collects in order to:
- Administer, maintain, and improve the website and its operation;

IPPS collects and processes individual personal data for the legitimate interests of IPPS, including the proper administration of this website, customer service, and promotion of IPPS offerings.
Your personal information, however provided to us, will be used for the purposes specified in this Notice. In particular, we may use your personal information for the following:
- to otherwise assist with your career development;
- to allow you to register as an IPPS member and modify your membership details;
- to administer your IPPS membership;

- to allow your organization to sponsor our events, programs, or services;
- to allow you to attend/ participate in our events such as the Annual Scientific Meeting on Pelvic Pain;

- to provide our advocacy services to ensure that your views are adequately and appropriately represented (this is in aggregate, not via the use of your personal name);
- for PR/ publicity purposes (where required by applicable law, only where you have given us your consent to do so);
- to process your payments (for training, events, and other IPPS initiatives/ services);
- to answer your questions/requests and communicate with you in general;
- to connect you with other IPPS members, especially as related to your volunteerism for IPPS such as in advisory board, and committees;
- to manage relationships with our sponsors and partners;
- to analyze and improve our work, services, activities, products, or information (including our website), to tailor content according to your interests and preferences, or for our internal records;
- to provide any continuing education credits or other certification or educational credits for which you have paid;
- to report on the impact and effectiveness of our work;
- to run/administer our website, keep it safe and secure, and ensure that content is presented in the most effective manner for you and your accessing device;
- to audit and/or administer our accounts;
- to satisfy legal obligations that are binding on us--for example, in relation to regulatory, government, and/or law enforcement bodies with whom we may work (e.g., requirements relating to the payment of taxes or anti-money laundering);

- for the establishment, defense, and/or enforcement of legal claims.
Under certain laws, we are required to rely on one or more lawful grounds to collect and use the types of personal information that we have outlined above.
Where this requirement applies to us, we consider the grounds listed below to be relevant:
- Where necessary so that we can comply with a legal obligation to which we are subject (for example, where we are obliged to share your personal information with regulatory bodies that govern our work and services);
- Where necessary for the performance of a contract to which you are a party or to take steps at your request prior to entering a contract (for example, to provide you with training or other services for which you have paid);
- Where it is in your/someone else’s vital interests (for example, in case of medical emergency suffered by an attendee at one of our events);

The GDPR allows us to collect and process your personal information if it is reasonably necessary to achieve our or others’ legitimate interests as long as that processing is fair, balanced, and does not unduly impact your rights.
In broad terms, our “legitimate interests” means the interests of running IPPS, representing the study of pain management, and setting and maintaining professional standards.
When we process your personal information to achieve such legitimate interests, we consider and balance any potential impact on you (both positive and negative) and your rights under data protection laws. We will not use your personal information for activities where our interests are overridden by the impact on you; for example, where use would be excessively intrusive (unless, for instance, we are otherwise required or permitted to by law).
Communications for marketing/ promotional purposes
We may use your contact details to provide you with information about our work, events, services, initiatives, and/or products that we consider of likely interest to you (for example, about courses or events you previously attended, actions the IPPS has taken on behalf of its members, or career development services).
Certain laws that apply to the IPPS (for example, the GDPR in EU Member States) may require us to obtain your consent to provide you with this information via certain channels (for example email, SMS, or telephone). Where such requirements apply to us, we will not send you such information without your prior consent.
Where you have provided us with your consent previously but do not wish to be contacted by us about our products and/or services in the future, please let us know by email at firstname.lastname@example.org. You can opt out of receiving emails from the IPPS at any time by clicking the “unsubscribe” link at the bottom of our emails.
How long do we keep your personal information?
In some jurisdictions, there are limits on how long we may retain your personal information. Where these limits apply, in general, unless still required in connection with the purpose(s) for which it was collected and/or processed, we remove your personal information from our records 5 years after the date it was collected. However, if before that date (i) your personal information is no longer required in connection with such purpose(s), (ii) we are no longer lawfully entitled to process it, or (iii) you validly exercise your right of erasure (please see below), we will remove it from our records at the relevant time.
If you request to receive no further contact from us, we will keep some basic information about you on our suppression list in order to comply with your request and avoid sending you unwanted communications in the future.
To Whom Does IPPS Disclose Information?
Except where set out in this Policy, we do not sell or rent your personal information to third parties for marketing purposes. However, in general we may disclose your personal information to selected third parties in order to achieve the purposes set out in this Policy.
IPPS does not otherwise disclose or otherwise transfer your personal data to third-parties for their independent use unless: (1) you consent or authorize it; (2) it is necessary for the performance of the contract you have signed with us; (3) it is in connection with IPPS-hosted or IPPS co-sponsored conferences as described above; (4) the information is provided to comply with the law (for example, to comply with a search warrant, subpoena or court order, or for tax obligations), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (5) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (6) the information is provided to address emergencies or acts of God; (7) is necessary to address disputes or claims, or is provided to persons demonstrating legal authority to act on your behalf; and (8) the information is provided through the IPPS Member Directory. We may also gather aggregated data about our members and website visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers and/or other third parties for marketing or promotional purposes.
Please note that when we disclose or transfer your personal data to third parties to provide limited services on our behalf, such as publishing and/or sending newsletters, operating our meetings, fulfilling and shipping orders that users have placed and completing transactions requested by users, we provide those companies with the information that they need to provide us with the specific task they have been hired to do, we prohibit them from using that information for any other purpose, and we require them to abide by strict information privacy standards. For example, if you register to attend a cadaver workshop, we may share your registration information with third parties to enable them to assist with the workshop and comply with their compliance obligations associated with the cadaver workshop.
Non-exhaustively, those parties may include the following:
- suppliers and sub-contractors for the performance of any contract we enter into with them; for example, IT service providers such as software developers who assist us, website hosts, or cloud storage providers;
- insurers and banks;
- third parties that help us organize and administer our events;
- exhibitors who attend and sponsors who sponsor our events;
- other professional bodies as part of our advocacy services;
- third parties that may assist us with educational credentialing or continuing education credit processing;
- other members via our membership directory (please see above);
- financial companies that process payments on our behalf;
- professional service providers such as accountants and lawyers;
- parties assisting us with research to monitor the impact/effectiveness of our work and services, including third-party tools we deploy, such as Google Analytics and Adwords;
- third parties that provide technical platforms for the processing of grants, awards, fellowships, and school/camp applications and reviews;
- our international partners who share our values and help us maintain our global reach;
- regulatory authorities such as tax authorities; and/or
- news media outlets (we will always discuss this with you in advance and will not share your personal data with such outlets without your agreement).
In addition, we reserve the right to disclose your personal information to third parties in the following situations:
- in the event that we sell or buy any business or assets, in which case we will disclose your personal information to the (prospective) seller or buyer of such business or assets;
- if substantially all of our assets are acquired by a third party, personal information held by us may be one of the transferred assets;
- if we are under any legal or regulatory duty to do so; and/or
- to protect the rights, property, or safety of IPPS, its personnel, users, visitors, or others.

IPPS reserves the right to verify the identity of any person making such a request, provided that IPPS shall have no liability whatsoever resulting from false or erroneous requests.
Site of Processing of Personal Data
Personal data of individuals collected by IPPS may be stored and processed in the United States, Europe, or any other country in which IPPS, its vendors, or partners maintain facilities. IPPS may transfer personal data for processing across borders and from your country or jurisdiction to other countries or jurisdictions around the world.
Security IPPS is committed to keeping your personal information safe and secure, and we have appropriate and proportionate security policies, as well as organizational and technical measures, in place to help protect your personal information. International Data Transfers
Certain countries have rules relating to the transfer of personal information across borders and requiring us to ensure that personal information remains protected according to appropriate standards (for example, EU Member States under the GDPR).
As an international organization that encourages worldwide membership but is headquartered and administered in the United States, we will occasionally need to transfer your personal information overseas. This may also happen because we use global agencies and/or suppliers to process your personal information on our behalf.
Where required to do so, we will ensure that your personal information is given appropriate protection.
For example, for individuals based in the EU, personal information we collect from you will likely be transferred to and stored in a location outside the European Union such as in the United States. IPPS Events and meetings designed to increase interaction, engagement, collaboration, connectivity and community, in a fun and safe learning environment. We value the participation of each member of the community and endeavor to deliver an enjoyable and fulfilling experience. Participants are expected to conduct themselves with integrity, courtesy and respect for others and maintain the highest level of professionalism at all conference programs and events, whether officially sponsored by IPPS or not. All attendees, speakers, organizers, volunteers, partners, vendors and staff at any IPPS event are required to observe the following Code of Conduct. IPPS is dedicated to providing a harassment-free conference experience for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race or religion. We do not tolerate harassment of conference participants in any form. All communication should be appropriate for a professional audience including people of diverse backgrounds and cultures.
Be kind to others. Do not insult or defame participants. Harassment in any form, sexist, racist, or exclusionary jokes are not condoned at IPPS Events.
